A contract employee offer letter can protect your organisation by letting you secure a desired applicant and lay out clear terms and conditions that prevent legal action against you.
Though a contract employee offer letter is similar to a job offer letter, it is different because it is a legally binding agreement signed by the employer and employee, outlines the rights and duties of each party, and contains the terms and conditions of employment, including the employee’s duration of service and salary.
While a job offer letter conveys your interest in hiring a candidate and contains onboarding information, such as the title description, starting date, and salary, it is not legally binding. Contract employee job offers are typically given to candidates that will be employed for a limited duration, like freelancers, part-time workers, and project employees.
You can customise a letter, depending on the elements you want to highlight. Here are some of them:
Job description
Provide a quick run-through of responsibilities so that the employee can confirm and manage their expectations. You can also add whom they will report to and what department the job falls under.
Duration of employment
Include the start and end date of their employment. Other important details are working hours, workplace location, and leave policies.
Basic pay
Will their pay be gross or net of taxes? Will this be given twice monthly, in tranches, or upon project delivery? Put here other forms of compensation such as allowances, bonuses, stock options and other benefits.
Employment requirements
Give your future employee a head start by informing them of pre-employment obligations, such as drug checks, health verification, COVID testing, and reference letters.
Offer’s expiration
Time is precious, so you should inform a candidate until you wait for their reply. This way, you can continue your employee search without further delay.
Clauses
Though clauses are not required in such a letter, you may want to get into some legalities of your offer. Examples include agreements on confidentiality, non-compete, and ownership.
